Admin support models that keep sales operations moving

Sales teams get admin support from a central desk, an embedded coordinator or a mix of both. Each model has a different duty split and a different first step for systems.

Teams from different departments working together

Three ways admin can support a sales team

Sales operations keep moving when admin support follows a deliberate model: a central admin desk, a coordinator embedded in sales, or a hybrid in which the coordinator handles commercial paperwork and the central desk handles company-wide services. The right choice depends on deal volume, how specialised the paperwork is, and how often sales needs something the rest of the company also needs.

Most companies never choose. A sales team grows, someone in admin becomes the person salespeople call, and over time that person spends their week on quotations, delivery follow-ups and customer documents while their official admin duties pile up. Naming the model is the first step to fixing that. The model also shapes hiring. A coordinator needs commercial judgement and comfort with customers; a central desk role needs breadth across services and steady process discipline.

Central desk, embedded coordinator or hybrid

A central admin desk serves every department through one request queue. It suits companies where sales needs are mostly generic: room bookings, couriers, stationery, travel. It keeps cost low and standards consistent, but salespeople may feel their urgent customer requests wait behind a pantry restock.

An embedded sales coordinator sits in the sales team and reports to the sales manager. It suits companies with heavy commercial paperwork, such as quotations with many line items, tender documents or order processing. The coordinator becomes fast and knowledgeable, but often drifts outside company admin rules because nobody in admin supervises the work.

The hybrid gives the coordinator commercial tasks and routes company services through the central desk. It costs more coordination effort but tends to suit enterprises with a sizeable sales force and a separate admin function, because each side does what it is best at.

Cost is rarely the deciding factor. The real question is where mistakes would hurt more: in commercial documents customers see, or in company services every department shares.

Splitting duties in a hybrid model

If you choose the hybrid, write the split down. A role list along these lines prevents the coordinator from becoming a second admin department.

  • Salesperson: owns the customer relationship, the opportunity record and commercial decisions
  • Sales coordinator: prepares quotations, tracks customer purchase orders and keeps the pipeline data tidy
  • Sales coordinator: assembles proposal and tender packs from the documents admin publishes
  • Central admin: maintains company documents, letterheads, certificates and their expiry register
  • Central admin: books travel, rooms, couriers and visitor arrangements through the common request queue
  • Sales manager: approves discounts, special terms and any request that breaks admin rules
  • Finance: checks quotation pricing against approved rates and bills the customer once delivery is confirmed
  • Admin lead: sets service standards for sales requests and reviews them with the sales manager

Running sales and admin systems in one programme

When sales relies heavily on admin, it often makes sense to introduce a sales system and an admin system together rather than separately. Done separately, each team builds habits around its own tool and the handoff stays in email. Done together, you can design the request types and the opportunity fields at the same time.

Start with the sales side. The opportunity record, account list and pipeline stages give admin requests something to reference. Next, set up admin's request queue with the request types sales uses most, each carrying the opportunity or account reference. Then move the coordinator's daily work onto both systems and retire the spreadsheets they kept privately.

Pilot with one sales team before extending. Measure the pilot by whether salespeople stopped messaging admin directly and whether the coordinator can see the status of every open request without asking. Agree service standards for sales requests before the pilot starts, so there is something to measure against.

Warning signs the current model is failing

Watch for salespeople keeping their own supplier contacts for couriers and printing, admin learning about customer visits on the day, a coordinator who cannot take leave because nobody else knows their process, or quotations going out on outdated templates. Each one points to an unclear boundary between the coordinator and the central desk. Duplicated effort is another sign, such as the coordinator and the central desk booking the same courier company under different accounts or keeping separate lists of customer addresses.

Review the model once a year, or when the sales team changes size significantly. What worked for a small team may break when a new region or product line is added.

Where Fasttrade can help

Fasttrade builds BukuCRM for accounts, pipeline, activity follow-up and handover to delivery, and BukuAdmin for company documents, internal requests, shared calendars and follow-up. If you are reshaping sales support, we can walk through your chosen model and agree with you what, if anything, should pass between the two systems.

Frequently asked questions

Should a sales coordinator report to sales or to admin?

Usually to the sales manager, because the coordinator's priorities are set by deals. Give the admin lead a dotted line for standards: templates, document handling, supplier rules and request routing. That keeps the coordinator responsive to sales while preventing the role from building its own unofficial admin processes that bypass company controls.

Can a small sales team share one admin person with other departments?

Yes, and for small teams a central desk is often the sensible choice. Give sales a clear request route, agree which request types count as customer-urgent, and review service quality with the sales manager regularly. Move to an embedded coordinator only when commercial paperwork is taking up most of that person's time.

What should the coordinator not do?

The coordinator should not approve commercial terms, sign documents on the company's behalf, create new suppliers or bypass admin booking rules. Those belong to the sales manager, authorised signatories, finance and the admin desk respectively. Writing these limits into the role description protects the coordinator when a salesperson pushes for a shortcut.
