What month-end assurance asks of the admin team
Finance needs a document behind every entry it cannot explain from the bank statement alone: the signed contract behind a recurring charge, the approval behind a purchase, the proof that goods or services arrived. Many of those documents are created or filed by admin, so month-end assurance depends on admin handing them over in a known place, in a known form, before the close starts.
Assurance here means the financial controller can answer an auditor's question about any line by pointing to a record, without walking down the corridor. That is a governance problem more than an accounting one, because it depends on two teams agreeing who files what and when.
Records admin holds that finance cannot close without
Admin's filing cabinet, physical or digital, quietly carries a large share of the evidence behind operating expenses. Typical examples are tenancy agreements and renewal letters for offices and warehouses, maintenance and cleaning contracts, insurance policies and endorsements, vehicle registration and road tax records, utility account details, and signed acknowledgements for company assets issued to staff.
Each of these explains a cost or an asset on the balance sheet. When a tenancy is renewed at a new rate and the letter stays with admin, finance keeps accruing the old rent. When an insurance policy is upgraded mid-year, the prepayment schedule goes stale. Neither error is visible until someone compares the ledger with the paper.
Deciding who owns the original, the copy and the record
Three different things often get confused. The original is the signed document, which admin usually keeps for legal reasons. The copy is the scan finance attaches to the entry. The record is the register that says the document exists, what it covers and when it expires.
Make admin the owner of originals and the register, and make finance the owner of the link between each document and its ledger entry. Write the split down. When a new contract arrives, admin updates the register and sends the copy; finance confirms it has been matched. Neither team edits the other's side.
Personal data appears in more of these files than people expect, from staff names on asset forms to identity card numbers on tenancy agreements. Limit who can open them and check your handling against the PDPA with your adviser or the Personal Data Protection Department guidance.
A month-end document routine both teams follow
Treat the handover as a short, repeatable sequence rather than a scramble on the last working day. A routine that works for many mid-sized companies looks like this.
- Admin closes the internal request log for the month and flags any purchase still awaiting a delivery note
- Admin sends finance the list of contracts signed, renewed or terminated during the month, with copies attached
- Finance matches new and changed contracts to recurring entries, accruals and prepayment schedules
- Admin confirms asset issues and returns so finance can update the fixed asset listing
- Finance returns a list of unexplained entries to admin, each with the question it needs answered
- Both teams sign off the open-items list, and anything unresolved carries forward with a named owner
Keeping the trail intact between closes
Most broken trails start mid-month, not at close. A manager signs a service agreement and keeps it in a desk drawer. A supplier sends a revised quotation by email and the purchase goes ahead on the new price. The month-end routine catches these late; a daily habit catches them early.
The simplest habit is a single intake point for any document with money attached. Contracts, quotations, renewals and cancellations go to one admin channel, which logs them before anything else happens. Finance can then look at that log any day of the month instead of waiting for the close.
Purchases that admin arranges on behalf of other departments need particular care. The requesting department receives the goods, so admin may never see the delivery note unless the request asks for it. Make the delivery or completion confirmation a required step before admin marks a request done.
Run a short quarterly review in which admin and finance pick a handful of entries at random and walk each back to its document. Gaps found that way are cheaper to fix than gaps found by an external auditor.
Choosing tools for documents and ledgers
If the routine works on paper, tooling makes it faster and easier to audit. Fasttrade's BukuAdmin covers company documents, internal requests and cross-team follow-up, while BukuCloud handles bills, supplier payments and reports such as the balance sheet and AR aging for finance. We do not assume the two should share data automatically; whether and how documents flow into the ledger side is agreed with you when the project is scoped.
Frequently asked questions
Should finance keep its own copy of every contract?
Finance needs a copy linked to each related entry, but the original and the master register should stay with one owner, usually admin. Two full registers drift apart quickly. A single register with controlled access, plus a copy attached at the ledger level, gives the auditor one source of truth and gives finance what it needs to post correctly.
What if a department signs a contract without telling admin?
Treat it as a process gap rather than a one-off mistake. Remind managers that any document with money attached goes through the single intake point, and have finance return unexplained recurring charges to the department head who owns the cost centre. After a few cycles of having to explain charges, most managers start routing contracts correctly.
How long should we keep supporting documents?
Retention periods depend on the type of record and the law that applies to it, including tax and company law requirements. Confirm the current rules with LHDN, the Companies Commission of Malaysia or your company secretary and auditor, then write them into the admin register so each document carries its own disposal date.
