Employee exit and access handoff operations depends on

When someone leaves an operating team, open tasks, system access and site keys must all change hands. This guide sets out who is responsible for each step between HR and operations.

Teams from different departments working together

An exit is an operations event as much as an HR one

An employee exit hands over cleanly to operations when HR triggers it as soon as the last working day is known, operations reassigns open work and removes site and system access, and both teams sign off a short checklist before the final day. HR owns the employment side; operations owns the work and the access that carry on after the person goes.

In operating teams, the risks of a loose exit are concrete. A former technician's badge still opens the plant. A purchase approval waits in the inbox of someone who left weeks ago. A customer escalation is assigned to a person now working for a competitor. Each problem traces back to an exit HR processed correctly and operations never heard about.

Who is responsible for each exit step

Give every step a responsible party and keep the list short enough to follow on a busy last day.

  • Confirm last working day and exit type: HR responsible, line manager consulted
  • Notify operations, IT and admin of the exit: HR responsible
  • List open tasks, approvals and assignments the leaver holds: line manager responsible, leaver consulted
  • Reassign each open item to a named person: operations manager responsible
  • Record knowledge handover such as procedures, supplier contacts and recurring checks: leaver responsible, line manager accountable
  • Remove site access, keys and badges: operations or security responsible, admin informed
  • Remove system access and change shared credentials: IT responsible, operations informed
  • Collect company equipment and confirm final settlement inputs: HR accountable, operations and admin consulted

Starting the exit handoff on the day notice is confirmed

The handoff begins the day HR confirms the resignation or termination, not on the last day. Operations needs the notice period to reassign work, train a replacement or spread duties across the team. When notice is waived or the exit is immediate, HR should phone the operations manager rather than rely on a form.

Some exits are sensitive: dismissals, misconduct cases or moves to a competitor. Here, access may need to be removed before the person is told, or at the same moment. HR and the operations head should agree a procedure for sensitive exits in advance, so the decision never depends on who happens to be in the office that day.

Retirements and contract ends are the easiest exits to plan, because the date is known well in advance. Use them to rehearse the full checklist, so the process is familiar by the time a sudden exit arrives.

Reassigning work the leaver still holds

A leaver's open work is often invisible. Tasks live in personal email, spreadsheets and memory. Ask the leaver and the line manager to list every recurring check, approval, customer case and supplier relationship the leaver handles. A list that looks complete usually grows once someone walks through a typical week.

Reassign each item to a person, not a team. A task owned by the warehouse team is owned by nobody. Record the new owner and tell the people on the other side of the work, such as the supplier or the requesting department, so they stop writing to the old contact.

Shared mailboxes and group chats need attention too. If customers or suppliers write to a shared address the leaver monitored, name the new monitor. If the leaver administered a group used for shift coordination, transfer the admin role before removing them from it.

Approval limits need a separate check. If the leaver could approve purchases or overtime, someone else must hold that authority from the last day, and finance should know who.

Reviewing recent and upcoming leavers together

Add exits to the regular HR and operations meeting. For each recent leaver, confirm access was removed, work reassigned and equipment returned. For upcoming leavers, check progress against the handover list.

When something slipped, find the step that failed and fix the process rather than blaming an individual. A badge that stayed active usually points to a missing notification, not a careless guard.

Exit records hold personal data and sometimes sensitive reasons. Share with operations only what it needs to act, and check how long you keep exit records against PDPA principles and Employment Act record-keeping duties with your adviser.

Running exits across the people and operations systems

The employment side of an exit, from resignation through final approvals, fits BukuHR. Open tasks, exceptions and the handoff of work between teams fit BukuOP. Whether an exit recorded in one should create a reassignment list in the other is worked out with Fasttrade against your exit volume and the kinds of work your operating teams carry.

Frequently asked questions

Who should remove an employee's access when they leave?

Split it by type. IT removes system access and changes shared passwords. Operations or security collects badges, keys and site passes. Admin may handle physical assets such as phones or vehicles. HR's job is to tell all of them in time and confirm completion before the last day. One checklist with a named owner per line stops each team assuming another has done it.

What happens to approvals still pending with someone who has left?

They should be reassigned before the last day. The line manager lists any approval authority the leaver held, such as purchases, overtime or leave, and names who takes it over. Finance should hear about changes to purchase approval. Anything still pending afterwards is rerouted by the operations manager so nothing waits on an inactive account.

How should sensitive exits such as dismissals be handled?

Agree a separate procedure in advance between HR, operations and IT. Access is usually removed at the moment the employee is told, and the manager plans the work handover without the leaver's involvement. Keep the circle small, document each step and take employment advice, since sensitive exits carry the greatest legal and security risk of any departure.
