What aging reports cannot tell a collections team
Accounts receivable follow-up works better when finance pairs the aging report with what the sales team knows about each overdue account: open disputes, pending renewals, a changed contact or a promised credit. Aging shows how late an invoice is. It says nothing about why, and the why decides whether a reminder, a call from the account manager or an escalation is the right move.
Enterprises in Malaysia often run collections from finance alone, working down the oldest balances first. That approach treats a customer waiting for a corrected invoice the same as one who has stopped paying anyone. The first needs an apology and a fix. The second needs a firm conversation. Sending both the same reminder letter damages one relationship and does little for the other.
Context that sits with the account manager
Account managers usually know things finance cannot see from the ledger. The customer's new procurement head wants every invoice resubmitted through a portal. Payment is held because a deliverable is under dispute. The customer is about to sign an expansion and the salesperson would rather a stern letter did not land this week. The original contact left and invoices have been going to an inbox nobody reads.
None of this is recorded anywhere finance can reach, which is why collectors end up calling the wrong person about the wrong issue. The fix is mostly governance: agree which facts sales must record against an account, where they record them, and when finance can rely on them.
An agenda for the joint receivables review
Hold a short standing review between the finance lead responsible for receivables and the sales managers whose accounts are overdue. Keep it to accounts past the agreed terms and use the same running order every time, so the meeting does not drift into pipeline talk.
- Overdue accounts sorted by value, with the account owner named next to each
- The reason for non-payment as sales understands it: dispute, missing document, process change, cash difficulty or unknown
- Agreed next action for each account and who takes it, finance or the account manager
- Disputes needing a credit note, revised invoice or delivery fix, with an owner outside finance where the cause sits in delivery
- Accounts where new sales activity should pause until the balance is settled
- Actions carried over from the previous review that are still open
Who contacts the customer, and in what order
Most friction comes from unclear contact rules. Finance worries that sales will soften the message; sales worries that finance will upset a customer in the middle of a negotiation. Write down a sequence both sides accept. Routine reminders come from finance. If an invoice stays unpaid after the first reminder, the account manager makes a relationship call to find out what is wrong. Formal demand letters and any decision to stop supply need sign-off from both the finance head and the sales head.
Data ownership needs the same clarity. Finance owns the balance, the invoice status and the payment history. Sales owns the customer contacts and the commercial context. Each side updates its own fields and reads the other's, so nobody overwrites a dispute note or a payment promise by accident. Record review outcomes against the customer record rather than in meeting notes, so the next person who picks up the account sees the reason and the agreed action.
Disputes, credit notes and holding new business
A dispute recorded by sales should change how finance treats the invoice. Agree that a logged dispute moves the invoice into a separate status, so it stops counting as an ordinary overdue and the root cause gets fixed. If the problem is a pricing error, finance issues the credit note. If it is a delivery shortfall, operations owns the fix and sales owns telling the customer.
Decide in advance when new orders should wait. Some companies let sales keep quoting but hold fulfilment; others block new quotations entirely. Either can work, as long as the rule is written, applied evenly and visible to the salesperson before they promise a delivery date. Contact names and phone numbers in these records are personal data, so check that the way you share them internally fits your obligations under the PDPA.
Giving finance and sales the same view of an account
The review only works if both teams can see the same account. Finance needs the commercial notes; sales needs the open balance and invoice status before calling a customer about anything.

Frequently asked questions
Should salespeople be responsible for collecting payment from their accounts?
They should support collection, not run it. Finance owns the receivable, the reminders and the ledger. Salespeople own the relationship and are often the fastest route to finding out why a payment is stuck. A written contact sequence, where finance sends routine reminders and the account manager steps in after a missed payment, keeps both roles clear and stops customers hearing different messages.
How do we stop disputed invoices from distorting the aging report?
Give disputed invoices their own status as soon as a dispute is logged, with a named owner for resolving it. They remain receivables, but separating them lets finance see which overdue balances are genuinely late and which are waiting on a fix. Review the disputed list in the joint meeting so it shrinks over time instead of becoming a permanent holding area.
What sales information is most useful to a collections team?
The current accounts payable contact, any open dispute or complaint, recent changes in the customer's procurement process, promises the salesperson made about pricing or credit, and upcoming deals that affect how firmly to press. Recording these against the customer account, rather than in chat messages, lets whoever handles collections act on accurate information.
