Enterprise CRM account and contact management for sales teams

Make the company, not the salesperson, the unit of record. How to model customer groups, which account fields matter, and how to give every contact a buying role.

What good account and contact management looks like in an enterprise CRM

Enterprise CRM account and contact management means the company, not the salesperson, is the unit of record. Every buyer, influencer and finance contact sits under a shared account with a clear owner, a known place in the customer's group structure, and a history anyone on the team can read. When that holds, a regional manager can open one record and understand the relationship without phoning three sellers.

Most sales teams in Malaysia start somewhere else. Contacts live in personal phones, WhatsApp threads and spreadsheets saved on laptops. The CRM gets a company name and an email address after the deal closes, if at all. That works while the team is small and nobody leaves. It falls apart the first time a key account manager resigns, or two sellers discover they have been calling the same procurement head with different prices.

Model the customer's group structure, not just its trading name

Large Malaysian customers rarely buy as a single entity. A plantation group, a property developer or a logistics conglomerate may have a holding company, several Sdn Bhd subsidiaries, and regional branches that each raise their own purchase orders. Store all of them as one flat account and you lose sight of which subsidiary pays, which one is growing, and where your relationship is thin.

Set up a parent account for the group and child accounts for each legal entity or buying unit that issues orders. Record the company registration number on each legal entity so duplicates are easy to catch. Branches that share a billing entity can stay as sites under the subsidiary rather than becoming separate accounts. A workable test: if your finance team would invoice it separately, it gets its own account.

Fields every enterprise account record should carry

Keep the account record short enough that sellers will fill it in, and complete enough that a newcomer can pick it up cold. These fields cover most enterprise sales teams:

  • Registered company name and SSM registration number, kept separate from the trading name people use in conversation
  • Parent account, so subsidiaries roll up to the group
  • Account owner, plus any secondary sellers with a defined role
  • Territory or region, matching how sales targets are actually split
  • Industry segment and account tier, using the same definitions as your forecast
  • Billing address and the main delivery or site addresses
  • Status: prospect, active customer, dormant or former customer
  • Last meaningful contact date, drawn from logged activity rather than typed by hand

Give each contact a role in the buying decision

A list of names and phone numbers tells you who you know. It does not tell you who decides. For each contact, record their part in the purchase: economic buyer, technical evaluator, end user, procurement, finance approver or gatekeeper. Add whether the relationship is warm, neutral or unknown. When a sales director reviews a large opportunity, the first question is usually whether anyone has met the person who signs, and a role field answers that in seconds.

People move between companies more often than accounts change. When someone leaves a customer, mark them inactive under the old account. If they join another prospect, create a fresh contact linked to the new company. Their history stays with the account where it happened, which is where the next seller will look for it.

Handling contact data under Malaysia's PDPA

Business contact details gathered by your sales team can be personal data under Malaysia's Personal Data Protection Act 2010. That affects how you collect, store, share and delete them, and whether contacts have agreed to receive marketing. Record where each contact came from and any consent or opt-out, and restrict exports so a departing seller cannot leave with the full database. The Act has been amended in recent years, so confirm current obligations against the Personal Data Protection Commissioner's guidance or with your legal adviser before you set policy.

Getting shared account records in place before changing systems

You can start with the tool you already have. Agree the hierarchy for your top customers, assign one owner per account, and ask sellers to move key contacts into shared records over a fixed period. In the weekly sales meeting, open a few accounts on screen and check whether the contacts and roles make sense to someone outside the relationship.

If your current setup cannot hold group structures, ownership and contact roles cleanly, look at a CRM designed around them. BukuCRM, Fasttrade's product for sales teams, is organised around accounts and contacts, pipeline, activity and handover to delivery. Fasttrade can talk through availability and fit for your account structure.

Frequently asked questions

Should each subsidiary of a customer group be a separate CRM account?

Create a separate account when the subsidiary is its own legal entity or issues its own purchase orders, and link it to a parent account for the group. Branches that share one billing entity usually work better as sites under that subsidiary. You can then report revenue and pipeline for the whole group while still seeing which entity actually buys.

Who should own a contact when several sellers know the same person?

The contact normally follows the account owner. Other sellers can be recorded as secondary relationships with a defined role, such as product specialist or regional representative. One owner avoids mixed messages to the customer and gives sales leadership a single person to ask about the state of the relationship.

Does PDPA apply to business contacts held in a B2B CRM?

Work names, phone numbers and email addresses can count as personal data under Malaysia's Personal Data Protection Act 2010, which shapes how you collect, use and retain them, particularly for marketing. The law has been amended, so check current requirements with the Personal Data Protection Commissioner's official guidance or your legal adviser before finalising your CRM data policy.
